GradTrain is an online service designed to help prospective students get accepted to education programs successfully and to match students to universities. Our website and apps are owned by GradTrain, LLC. You can contact us anytime at info@gradtrain.com.

We understand that providing information online involves a great deal of trust on your part. We take this trust very seriously, and are responsibly taking steps to ensure the security of your personal information. This policy describes the type of information we may collect from you or that you may provide when you visit the GradTrain website or otherwise using GradTrain “Services” (including our websites, mobile features, coaching sessions, applications, algorithms, communications, offers, databases and other interactive features or services that post a link to this Privacy Policy), and our practices for collecting, using, maintaining, protecting and disclosing that information. Please read this policy carefully to understand our policies and practices regarding your information and how we will treat it. If you do not agree with our policies and practices, you have the choice not to use our Website and Services. If you choose to use the GradTrain Website or Services, you are accepting the practices described herein.

All references regarding opting-in or obtaining consent are only relevant to UK and EU users under the General Data Protection Regulation ("GDPR").

1. Information you provide to us

We receive and may store any information you enter on our website or give us in any other way.  This information may include “Personal Information” (namely, information that can identify you, such as name, email address, username and password), and demographic or other information (such as your gender, age, address and interests). We may also collect payment information, if you opt to make purchases through our Services. You can choose not to provide information to us, but your use of the Website or the Services may be curtailed if such information is not provided. For example, information is required in order to receive predictions of school acceptance or initiate coaching sessions. In addition, some information may be required in order for us to provide you with relevant offers and provide you with services.

You have the opportunity to create a profile, which consists of Personal and non-Personal Information about you (your “Profile”). Some of the information in your Profile may be visible to third parties or to everyone, depending on the nature of the information and on the privacy settings you choose. In order to provide opportunities to you, educational organizations, scholarship providers and other third parties may be able to review certain information in your Profile, even if you have not set that information to be public. Your Profile may also be indexed by and displayed by internet search providers when your name is searched. GradTrain does not control the frequency in which third parties’ search engines update themselves, and cannot control if the information they present is outdated for a period of time.

GradTrain may provide you with the opportunity to participate and post content publicly in forums and other ways, including questions, answers, reviews, comments, testimonials, feedback, messages, images, videos, text or other materials. Such content may also be posted in your Profile. You may edit or remove such content from your profile, but you may not be able to remove answers or postings or other uploaded material from the forum or other communication platforms. Note that anything you post to a forum may be considered public information.

GradTrain may also allow members to communicate and collaborate with each other. If you create an account, participate in a forum or choose to communicate with others through our services, certain information about you or your network may be disclosed (such as your name and profile photo, the languages you speak, etc.). We allow other members to contact you through our service or through other contact information you may provide, such as your email address.

2. Information from other sources

We also may periodically obtain personal and non-personal information about you from affiliated entities, business partners and other independent third-party sources. For example, if you “click through” an affiliated website to us, that third party may forward us information about you. We may also interact with a third party web site or service, such as enabling you to "like" a product within our Services or “share” content to other web sites. In such cases, the third party web site may have access to certain information about you and your use of our services. If you post information on a third party platform that references GradTrain, your post may be published on our Services. Your interactions with third party services are governed by the privacy policy of that third party.

You may opt to participate in third party services through GradTrain (such as log-in through Facebook Connect, or linking GradTrain services with another website) or on a third party web site or service (such as GradTrain Facebook applications) through which you allow us to collect (or the third party to share) information about you, including personal information. If you remove the application or feature from the third party services, we will no longer collect information about you through that third party, but we may retain the information previously collected. You may link your activity on GradTrain with a third party website or service, which may then collect information about your visits to GradTrain and may publish that activity to that third party (such as if you choose to share a purchase you made on GradTrain with your connections on the third party platform).

In addition, we may receive information about you if users of a third party platform give us access to their profiles and you are one of their connections or information about you is accessible through the information they gave us access to.

We also may supplement the information we collect with outside records from third parties in order to enhance our ability to serve you. We commit to apply this Privacy Policy to the information we receive from those other sources as well, and to the combination of that information and other information we have about you.

3. Information about other People

You will have the opportunity to provide us with contact information of other people who you think can benefit from our Services. You should obtain the consent of other individuals prior to providing us with their personal information. 

In addition, we may offer referral features whereby members may invite friends to GradTrain. GradTrain stores invitees’ information for verification purposes, and in order to analyze the effectiveness of our referral programs. The referred person may contact us at any time to request that we remove this information from our active database.

4. Automatic Information

We may automatically collect certain information about your computer or device and about your use of the service when you visit GradTrain. This information may include IP address or other device identifiers (i.e., a number that is automatically assigned to your Device used to access a Service), the browser and operating system you are using, the URL or advertisement that referred you to our Services, the search terms you entered into a search engine that lead you to GradTrain, the parts of our sites that you visit, ads you may view, and the time of day you visited us, among other information. Some mobile service providers may also provide us with information regarding the physical location of the device you used to access GradTrain services. Use of our services, like other programs and services, through a mobile device may cause data to be viewed by your mobile carrier or other access provider. GradTrain does not transfer this information and cannot control its collection by those third parties.

We may use such information for a variety of purposes, including to enhance our services to you, to serve advertisements, and to improve our service. Such information is generally non-identifying, but if we associate it with you as a specific and identifiable person, we treat it as Personal Information.

5. Tracking technologies

Cookies and Log Files: Cookies are tiny data text files that can be stored on your computer’s hard drive. Log files are the record of your visits to GradTrain. GradTrain and its affiliated websites use cookies and log-files for the following purposes. First, to recognize you as a previous visitor and save and remember any preferences you may have previously set. For example, we may use cookies to remember your email and password, so you do not need to log-in each time you visit. If you are using a public computer or sharing your private computer with others, you should log out of your account after each visit. If you log out of a Service, you will need to re-enter your password the next time you visit in order to log in to your account. Second, cookies enable us customize the content, website experience, and advertisements we and third parties provide to you. For example, when you access our web page, we or our partners may automatically set a cookie, to recognize your browser as you navigate on the Internet and to present you with information and advertising based on your apparent interests. Third, cookies help us measure and research the effectiveness of website features and offerings, advertisements, and e-mail communications. Member IDs, passwords, and any other account-related data included in our cookies and log-files are encrypted to protect your data.

Your browser should tell you in the Toolbar how to prevent it from accepting new cookies, disable most of them, or notify you when you receive a new cookie. You can set your browser not to allow cookies, but you may not be able to use our services as fully as intended.

Web Beacons and Embedded Scripts: Web beacons (also known as clear gifs, pixel tags or Web bugs), are tiny graphics with a unique identifier which are placed in the code of a Web page. We (or our affiliate program partners, service providers, and other third parties) may use Web beacons to monitor the traffic patterns of members within our websites, in order to analyze and improve the quality and experience of our service. We (or our affiliate program partners, service providers, and other third parties) may also use Web beacons to help us understand which emails have been opened by recipients and to track traffic and measure the effectiveness of our content and other offerings. Embedded scripts are programming code, temporarily downloaded onto your computer or other device from our server or a third party service provider and is deactivated or deleted when you disconnect from the Services. We may use them to collect information about your activity on our website, such as the links you click on.

We may use a variety of other technologies that collect similar information for security and fraud detection purposes.

6. Voice and video recording and monitoring

We may record voice and video calls for the purposes of analytics, monitoring, and improving of our coaching and other services.

In addition, conversations with GradTrain customer service may be recorded for quality or compliance purposes, to check the accuracy of the information you provide us, for fraud prevention purposes, or to provide training to our staff.  Any personal information obtained from you during the call will be treated in accordance with the provisions of this Privacy Policy.


We use information about you in order to register you, manage your account, communicate with you, provide services and offers to you, tailor content, recommendations and offers to you, process transactions you initiate, send or display to you special offers or advertisements, improve our products and services, connect you to coaches and other members of the GradTrain community, allow other GradTrain members to contact you (and vice versa), provide you with location features and services, for internal business purposes, including the measurement of ad effectiveness, and for other purposes disclosed at the time you provide your information or otherwise with your consent.

We may create, facilitate or display social advertisements, which contain your name and profile photo in order to advertise products and services that you are using. You will be able to opt-out from social advertisements through your account settings for each and any such use.

Please also note that GradTrain content and widgets may be included on web pages and web sites that are not associated with us and over which we have no control. These third parties may independently collect data. GradTrain is not responsible for the privacy practices or business practices of any third party. We recommend that you examine the privacy statements posted on those other Web sites to understand their procedures for collecting, using, and disclosing personal information.


GradTrain does not share your contact information or Personal Information (email, address or phone number) with third parties for their marketing purposes without your consent. GradTrain may send you information and offers from third parties and information about our services. We may share non-Personal Information, such as aggregate user statistics and demographic information with third parties, including advertisers, content providers, and analytics providers. We are not responsible for the privacy policies and practices of third parties. If you decide that you no longer want to receive communications from a third party, you will need to contact that third party directly, even if we made the initial connection.

We may share your Personal Information with third parties only with your consent, or as disclosed at the time you provide us with information, or as described below or otherwise in this Privacy Policy:

1. Third-party vendors. We may also authorize third-party vendors who provide services or functions on our behalf, including business analytics, customer service, marketing, distribution, and fraud prevention, to collect information on our behalf. If you purchase any products or services, our billing partner will receive information needed to process your charges, including your postal and e-mail addresses, depending on your payment method. Third-party vendors may only collect information as needed to perform their functions and are not permitted to share or use the information for any other purpose.

2. Educational Institutions: We may work with universities, scholarship providers and other educational institutions to help them and our members to find the right match. We may allow educational institutions or education agencies to view information in your Profile, if you opt in to allowing that, or share your information with them if you opt to hear more from that school. We will not share your contact information (email address, full postal address or phone number) with educational institutions without your consent, but we may send you information on their behalf.

3. Social media services and other website . You can choose to access third party social media and other platforms through our site (such as Facebook). When doing so, you are sharing information with those platforms, and the information you share will be governed by their privacy policies.

4. Business Transitions. GradTrain may share Personal Information with its parent, subsidiaries and affiliates, primarily for business and operational purposes. In the event that GradTrain goes through merger, acquisition, or sale of all or a portion of its assets, or other corporate change, your information, including Personal Information, may be transferred to the buyer. We will notify our members via email and/or a prominent notice on the website of any change in ownership or uses of your personal information, as well as any choices you may have. This Privacy Policy will become binding upon the new owner of the information until amended.

5. Administrative, legal and investigatory disclosure. We may disclose your information, including Personal Information, in response to a subpoena or when required by law; to defend our rights; in response to a written request from law enforcement regarding an investigation into illegal activity that may have occurred while using GradTrain; to provide information to a claimed owner of intellectual property who claims that your content infringes on their rights; upon request of an academic institution connected to an investigation into academic integrity, to protect and/or defend our Terms of Use or other policies; or to protect the personal safety, rights, property or security of any organization or individual. These disclosures may be carried out without notice to you.


We may analyze your personal information to create a profile of your background, interests and preferences so that we can tailor offers and information to you. For that purpose, we may use information about you when it is available from external sources. We are doing our best to ensure that your information is updated and complete. You can review and update the information you provide to us on your profile at any time by emailing info@gradtrain.com . We may also use your personal information to detect and reduce fraud or criminal activity.

If you wish to delete your information from our databases, please send your request to info@gradtrain.com and we will remove your information from our databases and send you a confirmation email if you request us to do so.

In the event that you request to remove your information, we may only retain data that may be necessary to prevent fraud or future abuse or for legitimate business purposes, such as analysis of aggregated, non-personally-identifiable data, account recovery or if required by law. All retained data will continue to be subject to this privacy policy. Also, if you have posted content on forums, you may not be able to delete it.


After you register with GradTrain or downloaded the GradTrain app, we may send you information on our behalf and on behalf of third parties, and may send you on a regular basis via emails information, information about other services that we believe may be of interest to you. We give you the option at all times to unsubscribe from receiving these communications by sending an email with the word ‘unsubscribe’ in the subject line to the following email address info@gradtrain.com or using the opt-out mechanism described in the relevant email.


We want you to feel confident regarding your use of GradTrain, and we take very seriously the protection of your personal information. While no method of transmission over the Internet, or method of electronic storage, is 100% secure, we have implemented reasonable and appropriate administrative, technical and physical security procedures to help protect your personal information, including authorizations, encryption, firewalls and intrusion detection systems to prevent unauthorized persons from gaining access to your information. Additionally, we have implemented physical, electronic and procedural safeguards to protect the security of your information in compliance with the GDPR and other applicable laws. These include advanced firewall and password protection for our databases, physical access controls to our property, equipment and files, and limited access to users’ personal information to employees that need such access in order to provide you with Services. Our services are intended to prospective graduate students. They are not intended for, marketed to or available to individuals younger than the age of 16, and individuals younger than the age of 16 should not submit information to us.


Information we collect may be transferred to and processed in different jurisdictions, among which privacy laws may vary. By using the Services, or providing us with any information, you fully understand and unambiguously consent to the transfer, processing and storage of your information in jurisdictions in which the privacy laws may not be as comprehensive or robust as those in the country where you reside or are a citizen. By using our services, you understand that your information may be transferred to our facilities and those third parties with whom we share it as described in this Policy.


We encourage you to review your information regularly to ensure that it is correct and complete. You can review and change your personal information by contacting us at the e-mail address provided herein.

You also have the right to access, rectify or erase personal information held on our systems, the right to object or restrict the processing of your personal information, and the right to data portability. You may lodge a complaint with the competent data protection authority regarding the processing of your personal information.

You may contact us by sending an email to info@gradtrain.com to exercise your rights. We will respond to your request in a reasonable timeframe, and in any event in no more than 30 days.

When you exercise your rights, we may request information from you to enable us to confirm your identity and right to access such information, as well as to search for and provide you with the personal information we maintain. Also, please note that there may be instances where applicable laws or regulatory requirements allow or require us to refuse to provide or delete some or all of the personal information that we maintain.


We will use your Personal Information in a manner consistent with the Privacy Policy in effect at the time you submitted the information, unless you consent to the new or revised policy. GradTrain may update this Privacy Policy at any time and any changes will be effective upon posting. We will notify our members about material changes to this Privacy Policy by either sending a notice to the e-mail address you provided to us or by placing a prominent notice on our website, and will define there what constitutes consent to the new privacy Policy.


As part of the Services, the information which you provide to us may be transferred to countries outside the European Economic Area (“EEA”). By way of example, if you use our services while you are outside the EEA, your information may be transferred outside the EEA in order to provide you with the Service. Additionally, this may happen if any of our servers are located in a country outside of the EEA. These countries may not have similar data protection laws to the EEA.

In such circumstances, we will enter into model contractual clauses as adopted by the European Commission, or rely on alternative legal bases such as the Privacy Shield (where applicable) or binding corporate rules where our affiliates, consultants or service providers have adopted such internal policies approved by European data protection authorities.

Legal Basis For The Processing of Personal Information from EEA Residents

If your place of residence is located within the EEA, our processing of your personal information will be legitimized as follows: Whenever we require your consent for the processing of your personal information such processing will be justified pursuant to Article 6(1) lit. (a) of the General Data Protection Regulation (EU) 2016/679 (“GDPR”). If the processing of your personal information is necessary for the performance of a contract between you and us or for taking any pre-contractual steps upon your request, such processing will be based on GDPR Article 6(1) lit. (b). Where the processing is necessary for us to comply with a legal obligation, we will process your information on basis of GDPR Article 6(1) lit. (c), and where the processing is necessary for the purposes of our legitimate interests, such processing will be made in accordance with GDPR Article 6(1) lit. (f).


California Civil Code Section 1798.83 permits California residents to request certain information regarding our disclosure of personal information to third parties for their direct marketing purposes.
